eCargo is a private freight exchange platform for transport companies, freight forwarders, dispatchers and operators. This policy applies when you use eCargo on web, Windows, Android, iPhone or related services.

Data We Collect
We may collect the following data:
- Account data such as name, phone number, email address, password hash, login method, two-factor authentication status, passkeys, company role, language, theme and preferences.
- Company data such as company name, VAT number, EORI number, address, contact details, fleet size, years in business, profile images, verification level and subscription status.
- Verification data such as uploaded business documents, transport licenses, insurance documents, expiry dates, review status, rejection reasons and resubmitted files.
- Freight exchange data such as loads, vehicles, routes, dates, equipment types, rates, notes, status changes, saved filters and matching preferences.
- Chat data such as private messages, attachments, images, documents, voice notes, reactions, typing indicators, receipts, drafts and linked load or vehicle references.
- Payment and advertising data such as subscription plan, invoices, payments, advertising balance, campaign budgets, impressions, clicks, chats started and campaign status.
- Technical and security data such as IP address, device type, operating system, browser, app version, login sessions, approximate IP-based location, audit logs, activity logs, crash logs and security events.
- Support, feedback, report and moderation data.
How We Use Data
We use data to create and manage accounts; verify phone numbers and companies; provide load posting, vehicle posting, search, filtering and private chat; send app, push, email or SMS notifications; manage subscriptions, invoices, payments and advertising; prevent fraud and abuse; provide support; improve reliability; and comply with legal, tax, accounting and regulatory obligations.
Legal Bases
Where GDPR or similar privacy laws apply, we process personal data based on contract performance, legitimate interests, consent and legal obligations, depending on the feature and purpose.
Company Teams
If a company uses multiple operators, the company owner or administrator may see member names, phone numbers, roles, status, last active time and company-related activity. Subscription, verification, billing, documents, advertising balance, loads and vehicles are company-level data.
Verification Documents
Verification documents are used to confirm company legitimacy and platform safety. Some documents may have expiry dates. Rejected documents remain in history with the rejection reason so updated documents can be submitted.
Payments and Advertising
Payment processing may be handled by third-party providers. eCargo may store payment status, invoice records, subscription plan, billing history and advertising balance, but we do not store full card details. For advertisements, we track impressions, clicks, chats started, budget used, remaining reserved budget and campaign performance.
Notifications
We may send notifications about messages, load matches, saved filter matches, status changes, verification decisions, billing events, security alerts, support replies and advertising activity. Optional preferences can be managed in the app. Critical security and billing messages may still be retained in the app.
Cookies and Local Storage
We may use cookies, browser storage or secure local storage to keep you signed in, remember preferences, store drafts, improve performance and maintain security.
Data Retention
We keep personal data only as long as needed for the purposes described in this policy. Account, chat, billing, audit, verification, support and security records may have different retention periods depending on operational, legal, tax, accounting, dispute and safety requirements.
Your Rights
Depending on your location, you may have the right to access, correct, delete, restrict or object to processing, receive a portable copy of your data, withdraw consent, or lodge a complaint with a data protection authority. Signed-in users can request a private data archive from Settings → Privacy. For other requests or assistance, contact [email protected].
Security
We use technical and organizational measures to protect personal data, including authentication, phone verification, two-factor authentication, passkeys, secure storage where appropriate, access controls, audit logs, rate limiting, secure file access and monitoring.
International Transfers
Because eCargo may use service providers in different countries, data may be processed outside your country. Where required, we use appropriate safeguards such as contractual protections, data processing agreements or other lawful transfer mechanisms.
Children
eCargo is intended for business users and is not intended for children. We do not knowingly collect data from children.
Automated Decisions
eCargo may use automated matching, filtering, fraud detection and security checks. These help recommend loads, detect suspicious behavior and protect users. We do not currently make fully automated decisions that produce legal or similarly significant effects without human review.
Changes to This Policy
We may update this Privacy Policy from time to time. If changes are important, we will notify users through the app, website, email or another appropriate method.
